The Four-Part Prompt

Use task, context, format, and guardrails to improve results.

1 · Scenario Hook

Your team wants a simple way to write better prompts without memorizing complicated formulas. They need something easy enough for everyday work but strong enough to reduce weak AI answers.

The Four-Part Prompt

Most workplace prompts become stronger when they include four simple parts.

Learning Artifact
1

1. Task

What do you want AI to do?

2

2. Context

What facts, audience, situation, or constraints matter?

3

3. Format

What should the output look like?

4

4. Guardrails

What should AI avoid, verify, or not invent?

Task + Context + Format + Guardrails = a reusable workplace prompt pattern.

2 · Short Lesson

Use a simple four-part prompt structure for repeatable workplace AI tasks.

The four-part prompt gives employees a reliable starting point. The task tells AI what to do. The context gives AI the situation and facts. The format makes the output easier to use. The guardrails reduce risk by telling AI what to avoid or check. This structure works for emails, summaries, checklists, FAQs, reports, and many other business tasks.

3 · Memory Hook

Think of the four-part prompt like giving directions to a contractor. You would not just say build something. You would explain the job, the space, the specs, and the limits.

4 · Weak prompt

Write a summary.

It leaves AI guessing about source facts, audience, length, and what matters most.

5 · Better prompt

Summarize the notes below for a project sponsor. Use five bullets: decisions, owners, due dates, risks, and open questions. Do not invent missing details.

It includes the task, context, format, and guardrails.

Rule 12: Use the four-part prompt.

For most business prompts, include the task, context, desired format, and guardrails so AI knows what to do and what not to do.
